When Booking
When booking Red Dog Retreat, you (also referred to as; guest(s), you, yours and your) are entering into a legally binding contract with the owners (also referred to as; we, owner, us and ours), which is subject to the following Terms and Conditions (referred to as T&C’s). The person named on the booking form will be considered the ‘main contact’ and our contract will be with that person only. The main contact must be staying at the cottage for the duration of the stay, and it is the main contact’s responsibility to ensure that all members of their holiday party are aware of our Terms and conditions.
Prices
Reservations can be made via our online booking system. We will confirm reservations by email and hold for a maximum of 7 days. If a deposit or full payment, as appropriate, is not received within that time, it is possible that your provisional booking may be re-allocated or cancelled. If you are having any difficulty making payment or completing the booking form, please contact us immediately. Payment of the deposit constitutes an acceptance of our Terms and Conditions. You must check the confirmation and notify us of any errors straight away. We reserve the right to refuse any booking and be under no further liability.
Payment
A deposit of 25% of the total cost of your holiday is payable at the time of booking. The balance is due 6 weeks prior to the start of your holiday. The full amount is payable at the time of booking if it is 6 weeks or less from your arrival date. Payment by credit or debit card via the secure link on our website. Receipt of payments will be acknowledged by us via email. If payment is not made by the due date or you do not contact us, your holiday dates will be treated as a cancellation and re-advertised. All deposits are non-refundable.
Security Deposit
We require a security/damage deposit of £150 to held on your credit card prior to your holiday. The security/damage deposit will be released within 2 weeks of the end of your holiday less any payments for damage, return of left belongings or if any excess cleaning or laundering is required. We expect any damage to be acknowledged and paid for.
Cancellation or Changes Made By the Guest
You have entered into a legally binding contract as soon as your booking has been made. If forced to cancel for whatever reason, then no refund of deposit will be due. If you wish to book an alternative date we will transfer your deposit to the new booking and send a revised confirmation. For cancellations within 6 weeks of your holiday we regret that no refund of the full balance is due. Cancellations must be notified in writing, this includes email to the owner immediately they occur. We strongly recommend that guests take out a holiday cancellation insurance plan to cover these eventualities.
Dogs
Red Dog Retreat was designed with dogs in mind. However, we ask that guests respect we have to impose some conditions to maintain standards. Up to 3 dogs will only be allowed if we are notified of type and number on the booking form. We may allow more if we deem the space is suitable. We reserve the right to refuse a booking in the unlikely event the type or number of pets is deemed unsuitable for the property. All dogs staying at the cabin must be disclosed on the booking form and relevant information provided as requested. Only those dogs disclosed on the booking form may be brought onto the property. Any additional visiting dogs/friends must first be agreed with us before they will be allowed onto the property. Please ensure your dog(s) are up to date with parasite treatments – natural remedies are acceptable. If your dog is suffering with a contagious condition such as fleas or kennel cough etc they must not, under any circumstances, be brought onto the property. If it becomes necessary to close the cabin due to flea infestation you will be liable for the cost of treatment to deal with this, as well as the loss of income resulting in having to close the cabin, until such time as it is deemed safe to let again. We provide throws for sofas and beds and ask that guests use these and do not allow pets on unprotected furniture. A charge for additional cleaning/ laundering will be made if this is not adhered to. Pets can be left alone for short periods at the property if guests are sure the animals will not be stressed or cause damage. We reserve the right to withdraw this clause at any time if we have concerns about the health and welfare of any animal. This includes dog vocalisation if deemed prolonged, excessive or causing a nuisance. Owners are liable for any damage caused by pets. All faeces must cleared from the land and gardens and binned.
It is your responsibility to keep your dog under control at all times whilst on our property.
Whilst the property is stock fenced and gated, this is not checked regularly, and Red Dog Retreat will not be liable should your dog escape from the property or our surrounding land. It is your responsibility whether you consider your dog is safe to be left off lead in the various areas of the property. Use of our private land, including the parking area, garden and woodland, are used at your own risk.
Guests must adhere to any warning signs or requests to avoid specific areas.
Banned Breeds
Owners of any guest dog which is a banned breed under the Dangerous Dogs Act 1991 and/or as subsequently amended within the United Kingdom must strictly adhere to all guidelines under The Index of Exempted Dogs during their stay here.
Guest Numbers
The maximum capacity of the cabin is 4 people plus one infant (under 2 years old). No-one other than those named on the booking form may sleep at the cabin. If you wish to add additional guests up to the maximum capacity following booking, then please inform us prior to arrival. If you arrive with more guests than our maximum capacity or has been agreed, they will be asked to leave immediately, and you will be considered in breach of our Terms and Conditions.
Guest Obligations
When we hand the cabin over, it will be clean and in good order. Please leave it as you found it. We are sure that you will respect the property and its contents, but we recognise that accidents happen. Breakages and damage (including damage caused by pets) other than normal wear and tear will need to be paid for, but only at cost. Please inform us of any damage/breakages immediately so that we have time to rectify these prior to our next guests’ arrival. Excess cleaning will be charged.
Right of Entry
We reserve the right to enter the cabin for the purposes of inspection or to carry out any necessary repairs or maintenance. Whenever possible we will give prior notice to guests to agree a convenient time to enter the cabin. In the case of emergency maintenance repairs, such notice may not always be possible.
If we are concerned that guests are breaching our Terms and Conditions at any time during their stay, we reserve the right to enter and inspect the property at any time without prior notice. If guests breach our Terms and Conditions, we reserve the right to terminate their booking and instruct them to leave. No refund of any monies paid will be given in these circumstances.
It is the responsibility of all guests to secure the property when not present, including shutting all windows. Owners will not be held responsible for any theft or damage caused by break-ins if guests have not secured the property when left unattended.
Cancellation/ Changes by us
Occasionally bookings may have to be changed or cancelled by us due to unforeseen circumstances or reasons beyond our control, for example fire, flood, exceptional weather conditions, destruction/damage to the property or personal circumstances (“force majeure”). Should this occur, we will contact you as soon as is reasonably practicable to inform you of the situation and provide a full refund of all monies paid.
If we need to terminate your holiday early during your stay due to unforeseen circumstances or reasons beyond our control, you will be refunded part of the accommodation costs based on the time remaining of the booking. This will be the full extent of the liability of us, the Owners, and no additional compensation, expenses or costs will be payable.
Breaking T&C's
If you are in breach of our Terms and Conditions at any time during your stay, you will be instructed to leave, and it will be deemed that your holiday has been cancelled, and you will not be entitled to any refunds or compensation.
Personal Details and Privacy
We need correct personal details, including mobile phone and email when making a booking so we can communicate with you about your holiday. These details will be used for checks to ensure you are the account holder for the payment method used. We may use cookies on our website and store your IP address in order to analyse usage and trends of our website. We make all reasonable steps to ensure the security of your personal data. We do not handle your payment details ourselves, they are entrusted to a payment industry accredited third party. We will only add you to our mailing list if you opt in.
Smoking
Red Dog Retreat operates a strict non-smoking and non-vaping policy inside the property or near open doors and windows. All smoking debris must be cleared up.
Liability
As far as the law allows, Red Dog Retreat will not be liable for any damage, loss or injury to you or any of your party or your/their property or vehicles as a consequence of this agreement or the occupancy. You indemnify Red Dog Retreat against loss, damage or injury sustained to the property or any persons as a result of any breach of these conditions or arising from the fault of you or any member of your party.
Website Accuracy
Whilst we do all we can to ensure the information contained on the website and other information platforms, we accept no liability for changes to amenities and local activities. All distances and travelling times are approximate.
